Platform Terms

Grantary is a shared, verifiable record of grant funding between funders and recipient organisations: baselines, delivery, spend, evidence, reporting and an append-only audit trail. Grantary records financial facts; it never holds, transmits or controls money. It is not a payment service, bank, or investment platform, and nothing in it is financial or legal advice.

• Creating an organisation on Grantary, or accepting these terms during signup for one, is a statement that you are authorised to act for that organisation and to bind it to these terms.
• Accounts are personal: one person, one account. Keep credentials private — multi-factor authentication is mandatory and must not be circumvented or shared. Tell us promptly at info@prodro.co.uk if you believe an account is compromised.
• Your organisation's administrators control who joins, what they can do, and what is shared with other organisations. Removing a person or revoking a share takes effect immediately; records they created remain part of the history.

• Recipient organisations choose a plan (Free, Core, Growth, Portfolio, or a funder-Sponsored arrangement) banded by the number of active grants. Funders, auditors and viewers are not charged. Current prices are on the pricing page. PRODRO GROUP LIMITED is not currently VAT registered, so no VAT is added; if that changes, prices will state VAT explicitly and the change will be notified in advance.
• Paid plans are charged monthly in advance and renew automatically. You can cancel or change plan at any time, effective at the end of the current billing period. Where card billing is not yet in place for your organisation, fees are arranged by invoice on the same terms.
• Non-payment never locks you out of your own records. If a plan lapses or a payment fails, the platform becomes read-only for permissioned changes: you can always sign in, read everything, and export everything. Recording new activity and creating grants beyond the free allowance resume when the plan does.

• Your organisation's records belong to your organisation. You grant PRODRO GROUP LIMITED the licence needed to host, process, display and back up that content solely to operate the service — nothing more. We do not sell your data or use it to train AI models.
• The platform, its software, design and documentation belong to PRODRO GROUP LIMITED. Your data is yours; the machine that keeps it provable is ours.
• A grant record is shared by design: both the funder side and the recipient side of a grant see and contribute to the same record, and what each side has done is attributed and permanent. Sharing beyond the grant record (such as document passports) happens only when your administrators grant it, and is revocable.
• You are responsible for the accuracy and legality of what you upload, and for having the right to upload it. Do not upload personal details of the people your services help unless genuinely necessary — redact beneficiary names, bank details and similar from receipts and evidence wherever possible.

You must not:

• upload unlawful, infringing or malicious material (including malware);
• impersonate another person or organisation, or misrepresent your authority to act for one;
• attempt to interfere with the audit chain, evidence hashing, or any record-integrity mechanism — the entire value of the platform is that history cannot be quietly rewritten, for anyone;
• probe, overload or attempt to gain unauthorised access to the service or other organisations' data;
• use the service to store data with no connection to grant management.

We may suspend access that we reasonably believe breaches this section, telling you why, and lifting the suspension when the issue is resolved. Suspension never deletes records.

We aim to keep Grantary available at all times and to schedule maintenance outside UK working hours, but the service is provided without a guaranteed uptime level. Support is by email at info@prodro.co.uk. We will give reasonable notice of changes that materially reduce functionality; we never reduce your ability to read or export your existing records.

• You can stop using Grantary at any time. Export is self-serve and always available — including on the Free plan and after a paid plan lapses.
• On written request from an organisation administrator we will delete the organisation's data, subject to the retention the funder set for each grant record, our legal obligations, and the append-only nature of the audit trail (which is integral to the service and to every organisation that shares a record with you). The privacy notice explains retention in detail.

• Nothing in these terms excludes liability that cannot lawfully be excluded, including for death or personal injury caused by negligence, or for fraud.
• Subject to that, PRODRO GROUP LIMITED's total liability arising out of the service in any 12-month period is limited to the fees your organisation paid for the service in that period (or £100 if greater); and neither party is liable for indirect or consequential loss, or loss of profits, revenue or goodwill.
• The platform records and surfaces information entered by its users. Funding decisions, compliance judgements and grant administration remain the responsibility of the organisations making them.
• You will compensate us for third-party claims arising from content your organisation uploads in breach of section 4 or 5.

• Changes: we may update these terms; material changes will be notified in the app or by email at least 30 days before they take effect, with the version number and date always shown on this page. Continuing to use the service after the effective date is acceptance of the new version.
• Data protection: the Data Processing Agreement and privacy notice govern personal data. The current subprocessor list is at /subprocessors.
• Confidentiality:each party keeps the other's non-public information confidential, using it only to perform this agreement.
• Governing law: these terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
